Ongoing user management when SCIM is enabled

Introduction

Once automated user provisioning (SCIM) has been set up and your users have been automatically created in Hoxhunt, you have few different options for managing new users.

 

Starting the training for new users in Hoxhunt

NOTE: In all options, user is the only ones who can onboard themselves. Customer Admins and Hoxhunt Support cannot mark users onboarded on the user's behalf.

 

Option 1: User initiated training start

  • Integrate Hoxhunt training as part of your new employee HR process 

  • Ask new employees to start Hoxhunt training by clicking on Hoxhunt button

With this option, Hoxhunt enables Anyone can join feature so that each new employee learns about Hoxhunt and its importance during their first days of employment. They are encouraged to start their Hoxhunt training without further delay by pressing the Hoxhunt button in their email client.

As a consequence, they receive the Welcome simulation, and Hoxhunt training starts rolling straight away. By reporting the Welcome simulation (or any other future simulation) they get onboarded to the training.

 

Option 2: Admin initiated training start

With this option, an admin user within your organization uses Hoxhunt Admin Portal to manually start the training for new employees. Read more here: Admin Portal: User Management View under Managing individual users and Managing several users.

By using Start training option in Admin Portal > User Management, the selected users receive the Welcome simulation, and Hoxhunt training starts rolling straight away. By reporting the Welcome simulation (or any other future simulation) they get onboarded to the training.

Alternatively, you can select Invite to training* to send out an Invite email which allows users to opt-in to Hoxhunt training if they so wish.

Option 3: Automated training start

  • Customer Admins can also automate Hoxhunt training to be started for new users on a regular interval (weekly, monthly). Please see Admin Portal: Starting Methods for more information.

  • Remember to communicate about Hoxhunt to new employees so they know what to do when their receive their Welcome email (see Pre-launch communication templates and visual elements ). By reporting the Welcome simulation (or any other future simulation) they get onboarded to the training.

Option 4: Combination of the above

It is also possible to combine different training start methods. For example, you can allow your employees to start the training on their own (option 1) for a certain time, then start the training for the remaining users centrally (option 2), and finally move to automated start (option 3).

 

Removing users from Hoxhunt

When automatic user provisioning is enabled, users should always be removed from Hoxhunt by removing them from your dedicated SCIM application for Hoxhunt.

After a user is removed from your SCIM application, Hoxhunt will soft delete the user (marked as pending for removal in Admin Portal > User Management). These users will be permanently deleted after 90 days. If a user is re-activated (assigned back to the SCIM application) before the 90 days have elapsed, soft deletion is canceled and user is returned to their original state before soft deletion was triggered. 

Users should not be removed via admin actions while the user is still assigned to Hoxhunt SCIM application because the user will be automatically re-created in Hoxhunt during next provisioning cycle.
